Reporting to the Manager of IT Planning and Procurement, the Technology Procurement Assistant is a member of the information technology services team, and is responsible for supporting key technology procurement processes that enable the payment of invoices and delivery of orders to our internal clients. The key responsibilities of this position include:
On a daily basis open, review, follow-up on, allocate, copy, file and distribute incoming postal mail, central email, and agreements. On a daily basis review orders, create PO's and submit to vendors (copying requestor). On a weekly basis collect and post order and inventory status reports from vendors. On a weekly basis reconcile and follow-up on open PO orders and provide status updates to requestor. On a weekly basis track and report on invoice summary details, submissions and status as well as reconcile invoice account statements. On a weekly basis reconcile and correct received department, national software maintenance and national communications account allocations. On a weekly basis track and report on agreement summary details, submissions and status. Assist with invoice and agreement discrepancy resolution with vendors and internal clients. On a monthly basis provide updated balances for departmental accounts. On a quarterly basis review and report and resolve any discrepancies between GL and departmental accounts. Provide various reports and analyses on Procurement-related matters, as required. Attend and actively participate in meetings, including managing action items related to Procurement. Take a proactive approach to duties and responsibilities, and provide suggestions for improvement to Procurement process efficiency and effectiveness. Provide other support and facilitation as required/directed.

The skills and attributes required for this position include:
At a minimum, high-school graduation diploma, professional certification or equivalent experience. 2-3 year's experience in administrative support/customer service. Previous work in an administrative role in an accounting, legal or IT professional services firm an asset. Proficiency with Microsoft Windows, Word, Excel and instant messaging. Typing speed: 60 wpm or greater. Excellent English verbal and written communication skills. Proficient mathematical skills. High level of integrity and accountability. Solid attention to detail with consistent follow-through. Effective listening and clarifying skills. Strong trouble-shooting, problem identification, analysis and resolution skills. Ability to prioritize and execute tasks effectively. Solid organizational skills, including multi-tasking and the ability to work under pressure. Ability to work both independently and as part of a team. Aptitude for learning and adhering to existing standardized policies, processes and procedures. Committed to excellence and getting the job done. Excellent interpersonal skills with a positive, client first focus.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
